Our vision is to be 100% accurate on every mailing. We achieve this goal by implementing several quality control checks throughout our production process. Like…secure transfer and receipt of data, file confirmations, data verification, data error checks, employee accountability sign-offs, customer approvals, and count controls and batching at every department throughout the process. We have also invested in a camera technology on our inserters that provides us with piece level tracking and complete job verification. Additionally our quality control procedures (QC’s) are audited annually as part of a SAS 70 audit as defined under the regulations of the Sarbanes-Oxley Act of 2002. We continually review and improve our quality control processes.
Camera Matching System
In 2005 SRS installed a camera matching system for our intelligent inserters, a system we refer to as our Electronic Audit System (EAS). These cameras will allow us to read our clients’ input data into the audit system and then visually confirm that each document is accurate and accounted for. The EAS will verify that the documents are inserted and metered, while also providing an additional guarantee that no documents were inserted incorrectly. It allows us to quickly identify the existence of duplicate documents, missing documents, and out of sequence documents therefore eliminating the opportunity for those pieces to be erroneously inserted and mailed. These cameras ensure that our client’s work is completed accurately and with the highest level of integrity available.
SAS 70 Type II Audit
Born out of the Sarbanes-Oxley Act of 2002, the SAS 70 audits serve to verify the safeguards, both physical and electronic, of private and personal data. The audit is performed by a CPA group that performs in-depth testing of internal controls over information technology and related processes. We chose to undergo the audit in order to verify to our clients that their information is being handled in the most secure manner possible. Additionally we chose to add our production controls to the audit, making it even more comprehensive and robust. This audit verified that we actually account for the accuracy of every piece of mail that travels through our facility beginning with data and ending with a sealed envelope.
